Terms of Service

The agreement between you and Propvara when you use the service. Last updated November 1, 2026.

These Terms of Service ("Terms") are an agreement between you and Propvara Inc. ("Propvara", "we", "us"). They apply when you use propvara.com and the Propvara application (the "Service"). If you use the Service for a company or other organization, you accept these Terms for that organization, and "you" means it.

1. Accounts

  • You must be at least the age of majority in your province or territory to create an account.
  • Give accurate information and keep your sign-in credentials secure. You're responsible for activity under your account.
  • Accounts are linked to records by verified email address. Tell us immediately at security@propvara.com if you believe your account has been used without permission.

2. Roles inside Propvara

The Service has different roles: owners, delegates, property managers and their staff, contractors, accountants, tenants, family viewers and short-term guests. Each role sees only what the people who control the records allow. Owners control their ownership entities and properties, including who manages them. Property managers act on owners' behalf under their management agreement, which is between them and the owners, not with Propvara.

3. Your data

  • You own your data. Content you or people you invite put into the Service ("Customer Data") belongs to you or them. You give us permission to host, process, display and transmit it only to provide and improve the Service, as described in our Privacy Policy and Data Processing Addendum.
  • You're responsible for having the right to share it. Landlords and property managers enter personal information about tenants, guarantors, family members and others. You confirm you have a lawful basis and any required consent to do so, and that you'll use it only for legitimate tenancy and property management purposes.
  • Export. You can export rent rolls, statements and records while your account is active and for 90 days after it ends.
  • Records follow the property. When owners change property managers, records about the property, its units and tenancies stay with the property and its owners.

4. Not professional advice

Propvara organizes information and performs calculations. Content on our website, including province guides, blog articles and calculators, and information in the Service, such as expense categories and T776 line references, is general information, not legal, tax, accounting or financial advice. You're responsible for your tax filings, leases, notices and compliance with residential tenancy and other laws. Consult a qualified professional for advice about your situation.

5. AI features

Some features use artificial intelligence, for example to read photographed bills or flag patterns in repair records. AI output can be wrong. Propvara asks a person to confirm AI-extracted information before it's recorded, and you're responsible for reviewing it. We don't permit our AI providers to train their models on your Customer Data.

6. Plans, fees and early access

  • Prices are listed on our Pricing page in Canadian dollars, plus applicable taxes.
  • New accounts start with a 14-day free trial. If your account was created before billing was switched on, we'll give at least 30 days' notice by email before any charges begin, and you can export your data or cancel before then.
  • Founding-member discounts apply for as long as the account stays continuously subscribed.
  • Paid plans renew automatically each month or year until cancelled. Cancelling stops future renewals; fees already paid are not refunded except where required by law.
  • We may change prices with at least 30 days' notice. Changes apply from your next renewal.

7. Payments between users

When online rent payments become available, they'll be processed by a third-party payment processor under its own terms, which you'll need to accept. Propvara is not a bank, trust company or party to the tenancy, and doesn't hold tenant or owner funds.

8. Acceptable use

You agree to follow our Acceptable Use Policy. In short: no illegal use, no discrimination against tenants or applicants, no harassment, no attempts to access data you're not permitted to see, and no misuse of other people's personal information.

9. Third-party services

The Service connects to services we don't control, such as Airbnb, Vrbo and Booking.com calendars and email delivery. Their availability and accuracy are their responsibility, and your use of them is governed by their terms. Calendar sync is not instant; you're responsible for checking availability before confirming bookings.

10. Availability and changes

We work to keep the Service available and secure, but it may occasionally be unavailable for maintenance or reasons outside our control. We may add, change or remove features. If we remove a feature that's material to a paid plan, we'll tell you in advance.

11. Ending your use

You can stop using the Service and close your account at any time. We may suspend or end your access if you materially breach these Terms, fail to pay, or if required by law. Where reasonable, we'll give notice and a chance to fix the problem first. After an account ends, your data is handled as described in the Privacy Policy.

12. Warranties and liability

To the extent permitted by law, the Service is provided "as is" without warranties of any kind, and Propvara is not liable for indirect, incidental, special or consequential damages, lost profits or lost data. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim, or $100 if you haven't paid anything. Some jurisdictions, including Quebec, don't allow certain limitations, so some of these may not apply to you.

13. Indemnity

If you use the Service for business, you'll defend and indemnify Propvara against third-party claims arising from your Customer Data, your breach of these Terms, or your violation of law, including residential tenancy and privacy law.

14. Governing law

These Terms are governed by the laws of New Brunswick and the federal laws of Canada that apply there. Courts in New Brunswick have jurisdiction, except where consumer protection law gives you the right to bring a claim where you live.

15. Changes to these Terms

We may update these Terms. For material changes, we'll notify account holders by email or in the Service at least 30 days before they take effect. Continuing to use the Service after that means you accept the updated Terms.
